Time Management To-Do Checklist

I’ve created a to-do checklist that is really working for me.

This checklist combines the EOS system and Passion Planner system of setting priorities, along with the 3-3-3 method, and motivation methods (learned from Huberman Lab) all in one easy to use printout that can be used with any time management organizer.

For over three decades of corporate life I used many time management systems, starting with the Franklin Planner back in the 80’s. In the 2000’s I started making my own planners until I found Passion Planner on Kickstarter in 2017. Passion Planner had everything I needed! Plus I love that they have free downloadables and many creative ways to help personalize your planner.

The 3-3-3 technique comes from Oliver Burkeman, author of Four Thousand Weeks: Time Management for Mortals. He demonstrates planning each day around a 3-3-3 model, first prioritizing three hours to deep work on your most important project. Next, complete three other urgent tasks that don’t require three hours of focus. Finally, do three “maintenance” tasks, like cleaning, answering emails, or scheduling other work.

This method works for me because it’s in sync with my mental energy level. I was in a bad accident that caused a traumatic brain injury that will impact me for the rest of my life. I block out 3 hours a day when I’m most energized. By the afternoon, I’m tired and have trouble focusing so it’s the perfect time to do maintenance tasks or fun stuff to give my brain a break. But you don’t have to suffer from a brain injury for this to work! It’s a great hack for everyone and it provides an amazing sense of accomplishment. Keep in mind that you block out focus work during your most mentally focused. If you aren’t a “morning person” choose the time of day that works for you.

I highly recommend the Passion Planner and the time management book, but you don’t need any of these for this print out template to work. You can use it with any system or by itself.
